About the Role
We're looking for a remote
Marketing Operations & Implementation Coordinator
to split time between hands-on marketing implementation (50%) and operational coordination (50%). You'll bridge strategy and execution across 8-10 client accounts—building marketing assets while keeping projects on track, priorities organized, and quality standards high.
You'll be the operational sidekick to our
*Operations Manager*
and our first dedicated full-time hire. Unlike our contractors who juggle multiple clients, you'll have complete context across all our work—the go-to person who can jump in anywhere, anytime. You're equally comfortable building pages in Kajabi as managing workflows in ClickUp.
Our IDEAL CANDIDATE
brings 3-5 years in marketing operations, marketing project management, online business management, technical VA work, or hybrid implementation/coordination roles—ideally supporting coaches, course creators, or service providers with funnel building, email marketing, and systems implementation. You're the rare generalist who thrives at both building and coordinating—someone who sees what needs to happen next and makes it happen without being asked. You have a strong "figure it out" mentality and take radical responsibility for delivering excellent work.
Your performance will be measured by meeting deadlines, proactive communication, delivering quality work with minimal revisions, smooth coordination across team members, and implementing feedback without repeating mistakes.

You’ll be doing things like:
Operations & Project Coordination (50%):
- Intake & Priority Management:
Triaging client requests through intake forms in ClickUp; determining what's ready to execute versus what needs clarification; flagging missing information or unrealistic timelines; sequencing work based on team capacity; catching scope creep early; keeping clients updated on what's queued, in progress, or blocked
- Project Execution & Team Coordination:
Tracking projects through completion; coordinating handoffs between strategists and contractors across time zones; assigning work with clear deadlines and context; following up to keep things moving; communicating delays before they become problems; serving as the go-to contact for daily implementation questions
- Client System Setup & Operations Support:
Setting up client workspaces in ClickUp, Asana, and similar tools; organizing their Google Drive hierarchies and documentation; configuring project management workflows and light CRM setups; building repeatable processes they can run independently; creating handoff documentation for their teams
- Internal Systems & Process Management:
Writing and maintaining SOPs for recurring workflows; keeping Zapier integrations, automations, and notifications running smoothly; spotting broken processes before they cause issues; recommending improvements when you see gaps; documenting how things work so knowledge isn't trapped in anyone's head
Marketing Execution & Asset Management (50%):
- Landing Page & Funnel Implementation:
Building and updating pages and funnels in Kajabi, ClickFunnels, and Go High Level from provided copy and design; swapping images, updating CTAs, fixing broken links; ensuring mobile compatibility; jumping in to help the lead builder during crunch times or when quick fixes are needed across time zones
- Email Marketing Setup & Automation:
Building email sequences in Kajabi, Kit, Mailchimp, ActiveCampaign, and FlowDesk; formatting copy and positioning CTAs effectively; setting up triggers based on tags and subscriber behavior; testing thoroughly before launch; troubleshooting when things don't fire correctly
- Cross-Platform Copy Implementation:
Deploying finalized copy across websites, email platforms, and course systems; maintaining formatting consistency and brand standards; updating messaging as campaigns evolve; keeping visual quality consistent regardless of platform
- Quality Assurance & Delivery Prep:
Reviewing all deliverables before clients see them; catching typos, broken links, and formatting issues; checking contractor work (PDFs, one-sheets, landing pages, emails) against quality standards; making sure everything is polished and ready to go
- Digital Asset Management:
Organizing Canva files, Google Drive, and OneDrive folders across client accounts; creating logical folder structures and naming conventions; maintaining version control; archiving outdated materials; ensuring anyone on the team can find what they need quickly
Skills & Qualifications
- 3-5 years of prior experience in roles like
*Marketing Project Manager, Marketing Operations Coordinator, Online Business Manager, Technical VA*
, or similar hybrid roles—ideally with funnel building, email marketing, or systems implementation experience
- Experience building and updating landing pages and funnels in Kajabi, ClickFunnels, or Go High Level
- Email marketing experience setting up sequences, triggers, and automations across multiple platforms
- Project management ability to juggle multiple client accounts and coordinate team handoffs
- Strong "figure it out" mentality; learns new tools independently and troubleshoots before escalating
- Detail-oriented; catches errors before work reaches clients and communicates clearly in English
- Proactive communicator who flags blockers early and updates without prompting
- Can assess task complexity quickly and recognize scope creep
- Experience writing SOPs and building repeatable operational systems
Bonus if you also have:
- Zapier or Make.com experience
- Marketing agency background
- Experience working with coaches, course creators, or service providers
- Experience managing freelance teams across time zones
- Familiarity with priority queue or capacity-based service delivery

Position Details
Working Hours:
6 hours minimum overlap between 9AM-5PM ET (Eastern Time); remaining daily hours asynchronous; adjusts with Daylight Savings Time.
Full-time vs Part-time:
Full-time (40 hours/week)
Education:
Relevant experience prioritized over formal education.
Level:
Intermediate (3-5 years of relevant work experience)
Compensation:
~USD $948–$1,185 (IDR 16M–20M) per month, based on experience. Structured as a
